How to Run a USMS Event
Hosting a USMS‑sanctioned event is one of the most important things a club can do. A well‑run match keeps riders safe, creates a fair competition, and gives everyone — from volunteers to spectators — a great experience. Here’s a quick look at what it takes to put on a successful event.
6–12 Months Out: Plan the Basics
Start early by choosing your date and location. Make sure the arena has reliable internet, since the USMS software requires Google Chrome. Gather details on stalls, RV hookups, and arena contacts, and request your certificate of insurance from USMS.
Decide how many stages you’ll run, what side‑pots or extra classes you’ll offer, and whether you’ll add money to the prize pot. This is also the time to order Buckaroo prizes, secure sponsors, and begin advertising once USMS approves your event in the software.
1 Month Out: Get Everything Ready
Order balloons and ammunition, choose your patterns, and recruit volunteers — scorekeepers, announcers, range masters, setup crew, and a grievance committee. Learn the USMS software, prepare your profit and loss sheet, and order printed checks. Pack all event materials so nothing gets missed.
Day Before: Set Up
Share patterns with competitors, groom the arena, check water access, set up timers, confirm Wi‑Fi and power sources, and test your mic system. Getting ahead now makes event day smoother.
Event Day: Run the Show
Start with a volunteer safety briefing and review the day’s agenda. Hang sponsor banners, set up first aid, greet vendors, and keep balloon runners stocked with water and snacks.
Use the USMS software to check riders in, post the go order, enter scores, and print payouts. Make sure to open the clean shooter report so payouts print correctly. Once the final stage is complete, take scores live for competitors to view.
Awards & Wrap‑Up
Finish strong with a clear awards ceremony — Buckaroos, clean shooters, side‑pots, shotgun, rifle, all Ds, top ten, and top money earners. Afterward, post results and photos on social media to celebrate the event and thank sponsors.
